Position Overview: The Office Assistant will provide vital support to the day-to-day operations of our office. This role is essential for maintaining a well-organised and efficient workplace. The ideal candidate will be a proactive multitasker with strong communication skills, attention to detail, and the ability to adapt to a variety of tasks. He or she will report to the Finance Manager. Responsibilities: [Administrative Support] • Manage and coordinate office communications, including phone calls, emails, and inquiries. • Assist in scheduling appointments, meetings, and conferences. • Prepare and distribute internal and external communications. [Data Entry and Record Keeping] • Maintain accurate and up-to-date records, databases, and filing systems. • Assist in data entry and ensure the integrity of information. [Office Organisation] • Maintain a clean and organised office space, including ordering and organising supplies. • Monitor and replenish office inventory as needed. [Customer Service] • Greet and assist visitors, clients, and employees in a professional and friendly manner. • Address and redirect inquiries to the appropriate department. [Support for Meetings and Events] • Assist in the coordination of meetings and events, including room setup, catering arrangements, and material preparation. [Assist Other Departments] • Collaborate with various departments to provide support as needed. Undertake special projects and tasks as assigned. Qualifications: • Minimum qualifications - Nitec or equivalent. • Proven experience as an office assistant or in a similar role. • Proficient in Microsoft Office Suite (Word, Excel, Outlook). • Strong organisational and time management skills. • Excellent written and verbal communication skills. • Ability to work independently and collaboratively within a team. • Professional demeanour and a positive attitude.
